Corporate is the one booking that usually lands mid week, and mid week carries a three hour minimum instead of the five you would pay on a Saturday. For most companies that makes group transport considerably cheaper than the weekend rates you see quoted everywhere.

What corporate transport costs

A weekday booking hits a three hour minimum. A team of eighteen in the LoungeS at $100 per hour is $300, which is under $17 a head and less than most companies spend on parking validation and mileage reimbursement for the same trip.

Bus only. Gratuity of 15 to 20 percent is customary and can be added to an invoice rather than handled in cash, which most finance teams prefer. Every party bus rental option is on our fleet page.

What companies actually book it for

• Visiting teams and client entertainment. Executives flying into Bush or Hobby, then moving as one group between the office, dinner and the hotel. Nobody hunts for parking and nobody gets lost between venues.
• Conference and convention shuttles. Moving a delegation between a downtown hotel and the George R. Brown Convention Center or NRG Park without paying event parking rates for eight separate cars.
• Client hospitality at games. Texans at NRG Stadium, Astros at Daikin Park, Rockets at Toyota Center. Event parking near any of the three is both expensive and slow to leave; a bus drops at the gate and collects at the gate.
• Employee appreciation and team offsites. Escape rooms, top golf, a brewery run, a day out of the office where the point is that people talk to each other instead of driving separately.
• Holiday parties. The biggest single corporate use, and the one with the tightest calendar.

Houston geography makes the case on its own. If your people are spread between the Energy Corridor, the Medical Center and downtown, one vehicle collecting in sequence beats a dozen cars converging on a venue with valet.

Holiday parties book out in October

December is the busiest corporate month of the year and the Friday and Saturday dates in the first three weeks go first. Companies that start calling in late November are choosing from what is left rather than what they wanted.

If you run a holiday party every year, book the following year’s date as soon as you know it. If the date has flexibility, a Tuesday or Wednesday party costs meaningfully less than the same event on a Friday, because you drop from a four hour minimum to three and off the peak pricing entirely.

Invoicing and repeat bookings

Most corporate clients do not want to hand over a personal card at the door, and they should not have to. We can invoice a company directly, put a purchase order number on it, and keep your details on file so the next booking is a phone call rather than a form.

If you book us more than a few times a year, tell us. Recurring accounts, multi vehicle bookings and standing arrangements are worth a conversation rather than a per trip quote, and we would rather have the relationship than the single transaction.

What to confirm before booking

• Proof of insurance and licensing. Many companies require a certificate of insurance on file before a vendor can move employees. Ask for it early rather than the week of.
• The all in total in writing, including how overtime is billed if a dinner runs long.
• Whether gratuity is already on the invoice, so nobody tips twice.
• The specific vehicle, not a category. For client facing work you want to know exactly what is pulling up outside.
• Chauffeur standards. Ours are licensed and background checked, which matters more when the passengers are your clients.
