Cost per person

Bigger groups get cheaper per head, which is why Houston chapters should book one large party bus rather than three small ones where possible. A Mega Lounge carrying forty comes to roughly $18 each on a Saturday.

These party bus prices cover the rental only, before 15 to 20 percent gratuity, and per person figures assume the vehicle is close to full. Weekday events drop to a three hour minimum. Every party bus is on our fleet page.

Formals, game days and chapter nights

  • Formals and semi formals. Usually Saturday, usually a venue with bad parking, and always more people than the original headcount. Book a size up.
  • Game days. A weekday or Sunday game hits a shorter minimum, which makes this the cheapest chapter outing available. Groups going to NRG Stadium, Daikin Park or Toyota Center avoid Houston event parking entirely.
  • Bid day and recruitment events. Moving a large group between houses and a venue in one vehicle, on schedule, rather than hoping everyone finds it.
  • Philanthropy and away events. Longer runs out of Houston where the drive is the cost. Ask for a flat rate as well as an hourly quote and compare.

Organising it without carrying the risk

The practical advice for whoever is organising:

  • Collect before you book, not after. Work out the per person figure from the table above, add gratuity, round up slightly, and collect that from everyone attending before the deposit goes down.
  • Overbook the vehicle size, not the headcount. Chapter events grow. It is far cheaper to have five spare seats than to leave people behind or add a second vehicle late.
  • Get the all in total in writing so the number you collect is the number you pay. Fuel surcharges and service fees added later come out of your pocket.
  • Pay the deposit by card. If a company does not show, a card gives you a chargeback. Cash app and wire do not.

Everyone drinking on board must be 21 or over, and our chauffeurs enforce it regardless of what the event is. For chapters with members under 21 in the group, that is worth communicating before the night rather than at the door.

Many national organisations also have their own risk management policies covering chartered transport and alcohol at chapter events. Check yours before booking, because those rules are usually stricter than ours and your chapter is the one accountable for them.
